DESCRIPTION:   Under general supervision, assists the Communications Services Department to provide customer service to the University community. Desk activities including answering telephones, opening and distributing mail, preparing outgoing mail, and other related activities which support the Communications Services Department.

Duties and responsibilities include, but are not limited to:

  • Answers multi-line telephones and forwards calls appropriately.
  • Provides backup support to phone system operators.
  • Maintains and updates phone conference schedules.
  • Manages Quickconnect conferencing service and instructs users on its use.
  • Assists Communications Technician with installation of telephone and data wiring and cabling.
  • Assists Communications Technician with troubleshooting and repair of voice and data infrastructure.
  • Communicates effectively with University customers and vendors regarding telecommunications services.
  • Maintains files and records of invoices, vendors and cell devices.
  • Uses web and computer software to order services and equipment.
  • Performs updates to e911 and Tapit software.
  • Provide end user training on phones and voicemail.
  • Performs minor MAC on Avaya phone system.
  • Contributes to a team effort by accomplishing related duties as needed. Adheres to all safety and housekeeping policies and procedures.
  • Performs other related duties or special projects as assigned or directed.


MINIMUM QUALIFICATIONS: 
  Requires a high school diploma or equivalent. Also a minimum of one (1) year of related experience in a similar position. Basic knowledge of secretarial procedures, methods and techniques; record keeping requirements; and departmental operations and practices.  Successful candidates will have strong organizational skills; effective communication, both verbal and written with co-workers, supervisors and on and off campus contacts. Demonstrate ability to focus on multiple tasks, with tight deadlines; use good judgment in organizing and completing assignments independently in a fast-paced environment.
