DESCRIPTION:   Under general supervision, provides comprehensive administrative, clerical, and logistical support to the Theatre Department. Often functions as the first line of contact either in person or by telephone to students, prospective students, or other members of the university and Redlands communities needing services of the Department.

•Provides marketing and front of house and box office management for an average of six department productions/events per academic year within a multifaceted and diverse department. 

•Trains and supervises part-time House Manager for department productions and other public events

•Manages Theatre office correspondence and accounts payables/receivables.

•Maintains and tracks departmental budget reports. 

•Provides direct supervision, hires, trains, coordinates activities, delegates departmental responsibilities and projects, recommends discipline, and completes performance evaluations of student workers. 

•Provides clerical support such as typing, filing and maintaining records; prepares check requests, sorts and distributes mail, prepares and sends various mailings; prepares and distributes departmental reports.

•Coordinates information flow to and from students, faculty and campus departments, either by telephone, e-mail or written correspondence.

•Schedules meetings and coordinates the scheduling of classrooms, rehearsal and performance facilities as needed.

•Maintains one or more databases such as students, adjunct faculty, courses, etc.

•Prepares course schedule(s); and student course evaluations; and advises students/faculty of student’s status in regards to departmental requirements.

•Coordinates publicity for season and production mailings including press releases, posters and programs.

•Coordinates maintenance and/or repair of office systems and equipment with other University departments or outside vendors. Oversees and maintains the orderliness of the Theatre.

•Update and maintain department and faculty information on University website, Theatre Arts website and social media (Facebook, etc.), ensuring the visibility and accuracy of information on all relevant pages (e.g. public directory).  Update department website to reflect the theatre’s production season; building separate webpages for each production.

•Maintains department confidence and safe guards operations by keeping information confidential; adheres to all safety and housekeeping policies and procedures; contributes to Team Effort by accomplishing related duties as needed.

•Performs other duties and special projects as assigned or directed.

MINIMUM QUALIFICATIONS:   Position requires a high school diploma or equivalent with two (2) years of additional coursework in related fields such as business, secretarial, computer software/word processing and spreadsheet programs plus three (3) years of related experience in a similar position or an equivalent combination thereof. Prior event marketing experience is preferred. Must be able to work with a high degree of autonomy in decision making; be accessible to students and responsive to their needs. Considerable knowledge of secretarial procedures and word processing, basic math skills and knowledge of recordkeeping required. Must have exceptional communication, organizational and customer service skills. Some evening and weekend responsibilities may be required. Ability to interact effectively with on and off-campus contacts and handle multiple tasks with tight deadlines. Must be able to competently interact with a diverse population of students, staff and faculty.
